Adult day care · CRM + transportation

Run the whole center.
Vans included.

ADC Central keeps participants, attendance, and claims in order like a good CRM should — then goes where the others don't: a transportation stack that plans the routes, times every stop, and shows you the morning as it happens.

One day, start to finish

Every morning at a day center is a logistics event.

ADC Central runs the playbook — from tomorrow's pickup plan to today's claim, each step hands off to the next.

  1. 1

    Plan the pickups

Mark who rides tomorrow — pickup, no-pickup, or doctor's visit — with times, custom addresses, and notes for the driver. Vacations sweep themselves out of the list every night.

  2. 2

Let the optimizer argue with your dispatcher

Routes group by area, order themselves, and split over-capacity rounds without separating people who live in the same building. Drag a stop anywhere — every time recalculates instantly.

  3. 3

    Text the drivers a link

No app to install, no password to forget. Each driver gets a page that works on any phone, tells them when to leave, and expires at midnight.

  4. 4

    Watch the board

Cards turn green as members board and red on no-shows. Stops running late flag themselves. There's a weather radar overlay, because Miami.

  5. 5

    Roll check & attendance

Photo-card headcounts seeded from today's pickup list — finished rounds lock so the count you signed is the count that stays. Attendance is a tap per person.

  6. 6

    Count lunches

Who eats here, who takes it to go — early leavers are flagged automatically from the return routes, and the kitchen gets a printable sheet.

  7. 7

    Turn attendance into claims

Select unclaimed days in the attendance log and the claim builds itself, amounts computed from each payer's rates. A full day of claims processes in under five minutes — all automated.

Transportation

Transportation is the hard part.
It's our favorite part.

Most CRMs stop at the front door. ADC Central was built for centers that run their own vans — so routing, drivers, and the live morning are first-class features, not add-ons.

Route Optimizer

Routes that plan themselves — and learn your way

  • Groups stops by area first, then orders them with real routing math — not straight-line guesses.
  • Splits over-capacity rounds while keeping same-building members on the same van.
  • Per-stop preferences stick: extra wait minutes, "late is fine" labels, departure delays.
  • Drag stops between rounds; boarding times recalculate as you drop.
  • One tap re-optimizes with Google's traffic-aware routing.
  • Learns from every order your team saves, so its next suggestion looks like your best day.

Driver page

Drivers get a link, not a login

Every route becomes a tokenized page that works in any phone browser and expires at midnight on the route date. Zero onboarding — if a driver can open a text message, they're trained.

  • "Get the van ready at 7:25 · leave at 7:40" — per-round timing that keeps mornings honest.
  • Tap to confirm each pickup — offline-safe, retries when the signal comes back.
  • The "5 minutes away" button places an automated call — in Spanish — telling the member to get ready.
  • Live traffic warnings when the route starts running behind.
  • Google Maps deep links for the full round or the next stop.
  • GPS runs in the background, so every trip leaves a trail you can replay.

Live Board & GPS trails

Put the morning on the wall

The Live Board is built for a TV by the front desk: it refreshes itself every 15 seconds, flips cards green on pickup and red on no-shows, and flags stops that are running late — with a weather radar overlay for the days that need one.

  • Every driver's day is recorded as a GPS trail — replay any date, van by van.
  • Confirmed pickups and drop-offs are pinned right on the trail.
  • A members map plots the whole roster — and lists anyone whose address won't geocode before it becomes a routing problem.

Billing & claims

Claims do the hard work.
You confirm and submit.

Billing is automated end to end — but the decisions stay yours. Pick who to bill, click Bill, and everything computes itself from attendance and each payer's rates.

Attendance & authorizations

The system already knows the numbers

  • Every attendance tap is a dated record — who came, which day, full or half day.
  • Each member's profile carries the insurance authorization — how many day-care days per week are approved.
  • Days left this week count down automatically — so nobody attends, or gets billed, past what the payer approved.
  • Unclaimed days queue themselves up: nothing attended goes unbilled, and nothing gets billed twice.

All the hard work, one click

Keep the decision-making; lose the data entry. Select the members, click Bill, and review what comes back.

  • Select who to bill — one member, a few, or the whole day.
  • Every claim computes itself: attended days × the payer's rate, with billing and diagnostic codes filled from the payer catalog.
  • You review, confirm, and submit. That's the whole job.
  • A day's worth of claims, done in under five minutes.

Everything else

The rest of the center, covered.

The everyday CRM work — done properly, in both languages, on any device.

Member records

One profile that knows the whole member

Everything the front desk gets asked lives in one place — who's active, who's still waiting on insurance, who to call, and what today's kitchen needs to know.

  • Statuses your center actually runs on — Active, Pending Insurance, Inactive — color-coded on every list.
  • Case managers, emergency contacts, and insurance coverage on file and one click away.
  • Special diets and medical conditions, visible to exactly the staff who should see them.
  • Care notes build a timestamped history for every member — rich text, with photos and files attached.
  • Weekday schedules, documents with previews, and a photo for every face at roll check.

Walked with the morning group and ate a full lunch. Daughter called — Friday pickup moves to 8:15.

Care notes

A timestamped history for every member — rich text with photos and files attached, gated by the same permissions as everything else.

Attendance

Pre-filtered to whoever is scheduled that weekday; present or absent is one tap. History lives in a grid you can actually read.

Roll Check

Photo-card headcount rounds seeded from the day's pickup list. Finished rounds lock — the signed count is the permanent count.

Lunch

Eats-here or takes-home for everyone confirmed today — special diets flagged for the kitchen, early leavers caught from the return routes.

Field trips

RSVPs per trip, then checkpoint-by-checkpoint headcounts in the field — with 48-hour share links for chaperones. Nobody gets left at the park.

Claims & LTC

Attendance rolls into claims automatically — a day's worth processed in under five minutes. LTC dashboards track revenue, payroll, and projections.

Insurance payers

Every payer with its full- and half-day rates, billing codes, and transport rate — so claims and projections start from real numbers.

Search & saved views

One search box across everything you're allowed to see. Filter presets remember each person's way of working, list by list.

Members map

The whole roster on one map, with anyone who can't be geocoded called out — before it becomes a 6:45 AM surprise.

Platform

Shaped like your center, not ours.

Admins build what the software didn't ship with — no developer required.

Entity Designer

Invent new record types — leads, incidents, equipment, whatever your center tracks — from 20 field types including money, links, attachments, and encrypted fields. Each one gets its own pages, permissions, and API endpoints automatically.

PDF forms, filled

Upload a state form once, map its blanks to your fields, and generate a filled PDF from any record from then on.

Menu Builder

Drag the sidebar into your shape — groups, pages, external links, even other tools embedded right inside the app.

Messages that arrive

SMS, email, and voice flow through one outbox with status, retries, and cancel — including passwordless SMS login for staff.

A real REST API

Full CRUD for participants and every custom entity, key-scoped to a permission group and rate-limited. Your integrations, welcome.

Escape your old CRM

A migration importer and live sync bridge let you run ADC Central alongside a legacy EspoCRM until you're ready to cut over.

Put an AI agent to work

Point any AI agent — Claude, ChatGPT, or your own — at the REST API and hand it the busywork: checking tomorrow's pickup list, drafting notes, filling records. API keys are scoped like any user group, so an agent only sees the fields you allow — sensitive data stays out by permission, not by promise.

Staff & compliance

Ready when AHCA knocks.

Employee files, hours, and required in-services live next to the member records they protect — complete, current, and one search away.

Employee records

The whole team, on the record

  • Every employee's file in one place — roles, documents, salaries, and history.
  • Clock-ins and clock-outs, timestamped and tallied — hours ready for payroll.
  • In-service trainings tracked with expiration dates — nothing lapses quietly.
  • Automated reminders before a certification expires — by SMS or email, before it becomes a violation.
  • Every record retained and searchable, so an AHCA audit is a file review — not a fire drill.
